The Marketing Project Coordinator facilitates the planning and execution of marketing and corporate communications projects which target independent agents, policyholders, employees, shareholders and the general public. This individual must understand and apply marketing and insurance concepts in a financial business environment. In this role, you will oversee tasks delegated by the marketing project management team, coordinate with cross-functional teams, team with necessary vendors and service providers, and ensure projects are moving forward on time and on budget. You will need to be highly organized, adaptable, and able to prioritize tasks while working independently. The ability to motivate others and keep them on task in a positive and encouraging manner is also a must-have skill in this position.

Responsibilities:
  • Work collaboratively with the marketing project managers and creative team to maximize productivity.
  • Establish and maintain a list of marketing projects that reflect our corporate strategic goals, market demands and business needs.
  • Oversee and manage the project intake process.
  • Coordination of quick turnaround projects and maintenance requests, including communication of requirements and assigning tasks to team members.
  • Organize and monitor schedules and see that deadlines are met.
  • Monitor traffic reports and help ensure resources are used efficiently.
  • Collaborate with the whole project team, contributing to the entire project lifecycle.
  • Collaborate with and assist community relations coordinator.
  • Adhere to project schedules and deadlines by ensuring client receives proposals/creative work, while monitoring and following up with key stakeholder through project completion.
  • Coordinate efforts within the team and with outside consultants efficiently.
  • Report updates verbally and in written form.
  • Complete any necessary administrative tasks.
  • Demonstrate commitment to clients’ needs and confidentiality continuously.
  • Apply project management best practices.
  • Daily monitoring of work flow for the creative team.
  • Implement tactical solutions that support our brand strategy and strengthen our brand message.
  • Monitor outside organizations’ communications to ensure adherence to UFG brand guidelines.
  • Strengthen the company’s brand image across all mediums—both online and print—including website, blogs, social media, collateral, presentations, events and industry forums.
  • Once plan is approved by our internal client, manage the schedule of assets, creative specs, and deadlines.
  • Work closely with graphic designers to upload materials by deadline.
  • Be an active, reliable and engaged participant in any project team.
  • Work collaboratively with other team members to achieve common goals and objectives.
  • Be punctual and respectful, affirming the marketing department’s commitment to developing positive relationships with all members of the organization.

Qualifications:

Education:

  • Associate or bachelor’s degree in business administration, marketing, public relations or similar discipline required

Experience:

  • 2 years of corporate marketing and/or communications experience
  • Professional experience in project coordination or management

Knowledge, skills & abilities:

  • Able to handle multiple tasks and work under deadlines
  • Able to maintain a consistently positive attitude during pressure situations while providing the highest levels of customer service
  • Strong interpersonal skills; able to work well with people from many disciplines with varying degrees of business and technical experience; able to interact effectively with people at all organizational levels of the firm.
  • Detail-oriented, with excellent organizational, communication and time management skills.
  • Exceptional communication and interpersonal skills
  • Keen attention to detail and an aptitude for problem-solving
  • Excellent computer skills, including experience with Microsoft Office Suite
  • Collaborative working style and team-player attitude
